A cheaper-looking monthly payment does not always mean a cheaper agreement. We look at the whole position before recommending a change.
- Equipment rental and service. Compare the finance payment, service charges and cost-per-copy together.
- Actual usage. Check real mono and colour volume rather than relying on old estimates.
- Settlement position. Work out whether changing now saves money or simply adds an existing commitment to a new one.
- Contract structure. Minimum billing, included prints and other recurring charges can materially change the real cost.
- Current requirement. A machine that was right several years ago may now be too large, too small or missing functions your team actually uses.

Equipment rental is only one part of the total cost. Service CPC and contract structure can matter more over a three-, four- or five-year term.
Check the cost per copy.
A very low CPC on the wrong machine is not automatically better value. The equipment, workload, service exposure and location all affect the correct rate.
A4 service
Camelott® service can start from approximately 0.2p mono / 2p colour. Many A4 agreements we currently see are around 0.5p mono / 5p colour.
A3 service
Camelott® service can start from approximately 0.18p mono / 1.8p colour. Many A3 agreements we currently see are around 0.3p mono / 3p colour.
When comparing quotes, check how colour pages are counted, whether there is minimum billing and whether extra IT, scanning or toner-delivery charges sit outside the headline CPC.
The requirement comes first. The machine comes second.

Birmingham example
Seven quotations. The same machine. Nobody had asked the right question.
A Birmingham organisation had obtained seven quotations to replace a 60-page-per-minute copier. Most suppliers were competing with essentially the same specification at a slightly different price.
We looked at the actual usage and found the main machine was oversized. Further questions uncovered a separate colour printer in marketing that was unreliable and expensive to run. Instead of discounting the same box again, the recommendation became two appropriately sized multifunction devices, improving coverage and scanning access while reducing the expensive colour workload.
The value was not in quoting the same machine a little cheaper. It was in spotting a better solution that the earlier quotations had missed.

On one installation, two upper-floor machines could not use the normal access route, so the equipment had to be lifted to window level and carefully brought into the building.
Difficult access is still an installation problem that needs solving properly. Our trained in-house engineers use specialist moving equipment designed to reduce risk to both people and the machine.

A smaller machine that did more useful work
A long-standing Birmingham property customer was approaching renewal. Rather than replacing the previous specification like-for-like, we reviewed how the business was using the equipment now and how it expected to work going forward.
A3 usage had reduced and the customer wanted to lower cost, so the recommendation moved to a more compact Toshiba solution. Remote printing was also important because the decision-maker was not always in the office, so Universal Print was configured for remote jobs that staff could deal with on site.
The result was not simply a cheaper replacement. It was a smaller, more cost-effective machine that was more useful in day-to-day operation.
