What experienced buyers check
The headline price is not always the price you pay
Years of reviewing copier agreements, replacing poorly matched equipment and supporting customers after installation have shown us that some of the most expensive details are easy to miss. These are a few of the things Camelott checks when comparing an existing agreement.
- How is a colour page actually counted? On some machines and service structures, one full-colour page can generate more than one chargeable meter count. A headline colour rate therefore does not always tell you the real cost of a printed colour page.
- Are you paying in advance for prints you may never use? Camelott does not normally recommend bundled “included print” arrangements. We have occasionally provided them where a customer specifically requested that structure and there was a clear reason, but our normal advice is not to prepay for print volume simply because it makes the agreement look convenient.
- Is there minimum billing? Camelott's standard service agreements do not use minimum billing, so the customer is not required to pay for an artificial minimum volume of prints that has not been used.
- Are recurring IT or scanning fees actually necessary? We normally configure printing and scanning correctly when the equipment is installed. We do not automatically add a quarterly support charge for standard IT or scanning functionality that may never need attention; additional work is handled when it is genuinely required.
- What other charges sit outside the headline figure? We show applicable proposal and administration costs upfront so they can be considered as part of the total cost rather than discovered later.
Why this matters: two quotations can appear similar while producing very different costs over the life of the agreement. If you already have a copier contract, we can check the structure as well as the advertised rates.

Why the entry price starts where it does: many leasing companies and banks set a minimum amount they will finance, commonly around £1,000, creating a practical floor on very low-value leases. Used-machine pricing can vary substantially with age, meter count, specification, expected print volume and where the customer is located. Equipment rental is only part of the total cost: service CPC and contract structure can matter more over a three-, four- or five-year term.

What Does Photocopier Cost Per Copy Look Like?
Service rates can vary substantially, so a CPC should never be judged without the machine, workload and service requirement behind it. Location relative to the servicing dealer can also affect the commercial position.
A4 service — lowest rates we can offer from
For suitable A4 equipment and usage, service can start from approximately 0.2p mono and 2p colour per page.
A3 service — lowest rates we can offer from

Why CPC varies: the machine, its age and duty cycle, the type and volume of printing, parts exposure, service requirement and the customer's location relative to the dealer can all change the correct service rate. A very low CPC on the wrong machine is not automatically better value.
No commission-led sales team
The requirement comes first. The machine comes second.
Camelott is independent and multi-brand. We supply more Toshiba equipment than some other manufacturers because it answers many customer requirements well, but we have switched brands many times when cost, size, customer preference or a specific requirement made another option better.
Our job is not to sell you the biggest machine or the longest agreement. It is to specify what makes commercial and operational sense over the time you actually use it.
Seven quotations. The same machine. Nobody had asked the right question.
A Birmingham organisation had obtained seven quotations to replace a 60-page-per-minute copier. Most suppliers were competing by offering essentially the same specification slightly cheaper.
